Terms
Terms of service
These terms apply when you use Plumb Record. They're written to be read: who owns the record, what you're responsible for, and where our responsibility stops.
Last updated October 25, 2026
Draft for the prototype. This page describes how Plumb Record works today and what it will do at launch. It has not yet been reviewed by a lawyer, and items in [square brackets] are still to be confirmed.
1. The agreement
These terms are between you and Plumb Record (“we”). If you use Plumb Record for an organization, such as a church, a company or a building committee, you confirm you're allowed to accept these terms for it, and “you” means that organization. A signed agreement with us, if you have one, takes priority over these terms where they differ.
2. A pilot service
Plumb Record is in an early pilot. Features may change or stop, and there may be interruptions. During the pilot it is provided without charge unless we agree otherwise in writing, and without any service-level commitment.
3. Accounts
Access is by invitation. Keep access to your email account secure, since sign-in codes go there. You're responsible for who you invite to a project and the role you give them, and for telling us promptly if you think an account has been misused.
4. Your content, your record
The emails, documents, photos and notes in a project, and the record built from them (“your content”), belong to you or the project, not to us. You give us permission to store, copy and process your content only to provide and secure the service for you, including sending it to our service providers for that purpose. We don't use your content to train AI models. You can export a project's record at any time (Export, in the project menu), and when a project is closed we delete it as set out in the privacy policy.
5. What you're responsible for
- Having the right to send the email and documents you put into a project, and telling your project team that the project address is recorded.
- Choosing who is invited and what they can see.
- Using the service lawfully: no content you have no right to share, nothing malicious, no attempts to break, overload or get around its security, and no reselling it without our agreement.
6. What the record is, and isn't
Plumb Record organizes what your project's email and documents say and points out gaps and inconsistencies. It suggests; it doesn't decide. AI suggestions can be wrong, and email can be incomplete. Nothing in Plumb Record is legal, financial, engineering, architectural or insurance advice, and it doesn't replace your contract, your consultant's certification, a lawyer's review, or your own judgment. Check anything you rely on, especially amounts, dates, signatures, holdback and lien deadlines, against the source documents, which the record links to.
7. Confidentiality and security
We keep your content confidential, protect it with reasonable security measures, and limit staff access to what's needed to run and support the service. How we handle personal information is in the privacy policy; where it's stored and which providers we use are on data locations.
8. Suspension and ending
You can stop using Plumb Record at any time. We may suspend access to protect the service or other users, or if these terms are seriously broken, and we'll tell you why unless the law prevents it. If we end the pilot or the service, we'll give you at least [30] days' notice and a chance to export your records.
9. Our limits
The service is provided “as is” during the pilot. To the extent the law allows, we aren't liable for indirect or consequential losses (such as lost profits, project delays or missed deadlines), and our total liability for any claim is limited to [the greater of the fees you paid us in the 12 months before the claim and $100]. Nothing in these terms limits liability that can't be limited by law.
10. Changes to these terms
We'll update the date above when these terms change, and tell account holders by email before a meaningful change takes effect.
11. Law and contact
These terms are governed by the laws of Manitoba and the federal laws of Canada that apply there, and disputes go to the courts of Manitoba. Questions: plumbrecord@gmail.com.
